Accepting Credit and Debit Cards - User Guide

Campus Life Programs and other UMD units are allowed to use a credit-card processing machine for on-campus events. Any money earned will be posted to your EFS account, minus fees charged by the bank or credit card companies (usually 3-4% per transaction). Registered Student Organizations are not allowed to use these machines - check with Kirby Student Center to see your organization’s designation.

How does my program sign up for a terminal?

Check the appointment calendar to see if either of the two terminals is available. If there are no open appointments, the terminals are both reserved. If the terminal is available, submit an application for use.  Your reservation is not final until you receive an email confirmation from the Controller’s Office.

Does my program have to apply to use a terminal?

Yes, an application is required. The application is a Google Form and is done entirely online. Campus Life Programs must also have their advisor submit a form approving every UMD student that will use the terminal; this only needs to be done once per academic year.

Is training available on how to use the terminal?

If your program’s application is approved, you will receive an email confirmation and a link to a Canvas training. This training must be completed by everyone using the terminal at least once a year. Training completion will be verified when the terminal is picked up.

How do we pick up and return the terminal?

Pick up the terminal between 9:00 AM and 3:00 PM at the Cashier's Office window on the first floor of Darland on the day of your reservation. It must be returned to the same location by 3:00 PM on the last day of your reservation. Failure to return the terminal on-time with all components will result in loss of use privileges for the rest of the academic year.

What else do we need to know?

The terminal accepts American Express, Discover, Mastercard, Visa, and debit cards. Use of the terminal is free, but the organization using the terminal is responsible for pro­cessing fees and any customer disputes. The borrower is responsible for securing the terminal and any damage to the device. The University will deposit any revenue into the organization’s account string, usually within 60 days.
